Executive Assistant / Administrator

£11.72/hour (plus holiday) Approx. £24,400pa

6 Month Initial Contract - potential extension (Maternity Cover)

The Role

To provide secretarial & administrative support to the ICRM Department across UK with particular support offered to the senior management teams in these locations.

The successful candidate will be an administrative point of contact, providing support as well as liaising with other teams within the wider ICRM division.

The Team

Independent Compliance Risk Management (ICRM) proactively identifies, assesses, reports and mitigates compliance and reputational risks across business lines, products, legal entities and jurisdictions to the benefit of our franchise, customers and employees. ICRM sets standards and uses an enterprise-wide compliance risk management approach in partnership with the business and other Global Functions to drive a strong culture of compliance and control and support the principles of Responsible Finance. ICRM is committed to providing sound, independent advice and excellence in execution.

Key Responsibilities

  • Administrative support for managers and staff including but not limited to:
  • Making arrangements/bookings for travel, preparing and distributing travel schedules/agendas.
  • Expense claim preparation and submission.
  • Arrange and support departmental off-sites, regional team meetings/conferences etc.
  • Provide diary management service where required in support of senior managers.
  • Sensitive management of confidential, strategic, personal, and business critical information
  • Liaise with IT and other support functions to resolve technical issues on behalf of the managers and wider teams
  • Develop and maintain presentation, organisational charts and other material pertaining to ICRM's internal organisation and structure.
  • Liaison with wider Global businesses and senior business leaders within the region and globally
  • Supporting the departmental Records Management process in line with RM policy and guidelines
  • General administration duties in support of the wider team.

The successful candidate will work as part of an Administrative support team, undertaking a broad variety of tasks in a pressurised and rapidly changing environment, many of which entail direct and regular contact with a number of internal businesses/functions and Compliance Officers across EMEA.

Key Skills & Experience

  • Proven and significant experience in office administration
  • Proven work experience, preferably within a large and complex financial services or similar organisation
  • Experience of working in a detail sensitive, pressurised, large service orientated organisation would be beneficial
  • Excellent working knowledge of all MS office applications
  • Highly organised, efficient and able to multi-task
  • Solidly and demonstrably literate and numerate
  • Excellent interpersonal skills
  • Significant attention to detail
  • Strong written and oral communication skills
  • Excellent judgement and analytical skills
  • Unwavering commitment to co-operative and collaborative working
  • Motivated, enthusiastic and positive
  • Self-Starter, able to work on own initiative
