Are you experienced in managing and executing special sporting & cultural events for up to 200+ attendees with a detailed knowledge of Sporting industry and cultural environment in the EMEA region?

6 Month Temp to Perm Contract - Up to £40,000pa perm conversion salary (plus benefits)

The Role

  • Support all Ticket and Hospitality requests and enquiries for EMEA.
  • Act as a focal point for Ticket and Hospitality events and queries being driven out of the EMEA offices and key liaison between EMEA offices.
  • Provide support on logistics to all major internal businesses in their relations with existing customer and in new client development across the Company as required.
  • Reports to Regional Head of Global Event Marketing - EMEA, within the Global Executive Services organisation.

Key Responsibilities

  • Support all Ticket and Hospitality requests and enquiries for EMEA.
  • Execute compliance of Firm's policies with regards to Governance, Compliance, audit and risk, and finance.
  • Responsibility for organising sporting events across the region. This will include the total project management of said events (including senior Management events) from inception to completion.
  • Aid monthly financial reconciliations, including intercompany charges, local usage information and credit card close outs.
  • Work out prescribed budgets, preparing detailed pre-event and post-event costings.
  • Ensure adherence to budgetary guidelines at all ties through checks on meeting requests, approvals, risk assessments, invoices, expenses etc. prior to processing and/or authorisation.
  • Process invoices for one-off purchases.
  • Maintain strong data integrity within internal Tickets database.
  • Create relevant metrics and reporting data from systems to assist analysis.
  • Organise and/or support on arranging logistics for GEM managed events in partnership with other planners in EMEA as required.
  • Broad liaison across all levels with clients worldwide.
  • Build and maintain good working relationship with key individuals in each of the key Offices in EMEA.
  • Ability to identify key supporting and cultural events and propose new and innovative entertainment ideas to stakeholders to help them achieve their direct objectives.
  • Support education of the Products within EMEA on the internal tickets system and policies by delivering regular training sessions as required.

Key Skills & Experience

  • Fluent in English (verbal & written) - other languages would be an advantage.
  • Degree or equivalent with experience in a financial background
  • Managed and executed special sporting & cultural events for a range of 10 - 200 attendees / complex high-profile events.
  • Comprehensive and detailed knowledge of sporting industry and cultural environment in the EMEA region.
  • Ability to manage multiple complex projects and tasks simultaneously.
  • Strong knowledge of worldwide venues & extensive relationships with suppliers.
  • Will have worked in a busy office with dedicated experience arranging high profile ticket and hospitality events.
  • Good verbal and written communication with confidence and gravitas - ability to communicate at all levels.
  • Strong organisation skills, able to multi-task and manage time effectively, work on tight deadlines, prioritise and work under pressure.
  • Strong negotiation skills with quantitive and analytical skills.
  • Excellent administration skills be able to handle all administration requirements from start to finish including data input, contracts, invitations, filing and closing out Event files.
  • Creativity and ability to generate new ideas for events as well as inspire other team members.
  • Customer focused - must be able to deal with demanding customers.
  • Self-motivation, enthusiasm and positive attitude.
  • Shows initiative, proactive approach and is able to make decisions.
  • Team player willing to work with colleagues collaboratively towards a common goal, as well as ability to work unsupervised
  • High level of professionalism - reliable and responsible, demonstrates diplomacy, integrity & confidentiality.
  • Experience working with virtual/remote teams
  • Flexibility on working hours, when necessary, and flexible travel schedule
  • Shows willingness to undertake extra responsibilities
  • Proficient in using Microsoft Office Suite and knowledge of database management
