Required to start as soon as possible, we are looking for a Secretary to support an MD within a leading American investment management company.

You will be responsible for full secretarial and administrative support.

This role is for 4 days per week (flexibility over days), working from 9am-5pm.

Roles/Responsibilities

Liaise with Clients on a daily basis to organise meetings/conference calls/lunches

Book meeting rooms/refreshments

Book restaurants

Transport/Taxi

Print documentation

Organise pre-meetings for upcoming client meetings

Put all client meetings/conference calls in the diary

Comprehensive phone coverage for the team

Cash and card expenses, sign off invoices

Log IT issues for the team and follow them up

Organise the weekly team meeting, make a recurring room booking and update when necessary, create and print the agenda

Set up new starters for the team

Work with Marketing on events: Help to collate an invite list, collate responses, and liaise with Marketing on a regular basis with any updates. Chase the team to contact their clients who haven't responded.

Organise Clients breakfasts/lunches with ExCo.

Collate presentations from speakers for the Monday Morning Meeting, amalgamate them, then on Monday morning set up the dial in details in the room.

Liaise with other Admin Assistants to arrange holiday cover, stationery orders, mail merges, ordering toners etc.

Process legal/general documents by scanning and saving to the client file then emailing to the relevant departments

Update database with client details such as change of address/phone number

Arrange couriers and special deliveries

Update holiday spreadsheet with new starters

Order stationery/photocopying/filing/post/ mail merges

Skills/Experience

We are looking for an individual who is confident in all areas of secretarial support. You will have previously worked within a banking or financial services background, demonstrating a corporate and professional attitude.

Personal Attributes

The ideal candidate for this role will be able to hit the ground running and pick up things mid task. You need to not be fazed by an ever-changing workload, so must be flexible in your approach.
